Looker Studio is Google's free dashboard tool, and the fastest way to use it is to connect it to a Google Sheet: prepare a clean table in Sheets, add it as a data source, drop in scorecards, charts and filters, and share the report link like any Google Doc. If your business already lives in Google Workspace, you can have a working sales dashboard the same afternoon.
One note on the name: in April 2026 Google announced it was renaming Looker Studio back to Data Studio, the name the product used before 2022. The tool, your existing reports and the free tier carry on, and many tutorials and menus still say "Looker Studio," so this guide uses both names.
What Looker Studio (Data Studio) is good for
Looker Studio is a browser-based reporting tool. There's nothing to install, reports update when the underlying data changes, and sharing works through Google accounts. It's popular with small businesses and marketing teams because it connects natively to Google products such as Sheets, BigQuery, Google Analytics and Google Ads.
| Strengths | Limitations |
|---|---|
| The standard version is free to use | Limited data modeling compared with Power BI or Tableau |
| Runs in the browser on any computer, including Mac and Chromebook | Large or messy Google Sheets can make reports slow |
| Native connectors for Google products | Many non-Google connectors come from third-party partners and may cost extra |
| Sharing works like Google Docs | Advanced team management and some AI features sit in the paid Pro tier |
Google also offers a paid Pro version with team workspaces, administration and extra AI features. Plans and features change, so check Google's official product page for current details before you rely on a specific feature.
Step 1: Prepare your Google Sheet
Most Looker Studio problems start in the spreadsheet. The tool reads your sheet as a database table, so structure it like one:
- One header row in row 1, with short, unique column names such as Date, Order_ID, Store, Product, Units, Price. Names without spaces are easiest to use in formulas later.
- One row per transaction or per day. No subtotals, blank rows or merged cells inside the data.
- Consistent types: real dates in the Date column, numbers without text like "N/A" in numeric columns.
- A dedicated tab for the raw data. Do your formulas and summaries elsewhere.
If you need a calculated column, add it in the sheet with an array formula so new rows are covered automatically. For example, to compute revenue in column G from units in E and price in F:
=ARRAYFORMULA(IF(E2:E="", "", E2:E * F2:F))
Put the header Revenue in G1 and this formula in G2. Rows without units stay blank.
Step 2: Connect the sheet and build the report
- Go to the Looker Studio (Data Studio) home page with your Google account and click Blank report (or Create > Report).
- Choose the Google Sheets connector, pick your spreadsheet and the worksheet, keep "Use first row as headers" checked, and click Add.
- Open Resource > Manage added data sources > Edit to review the fields. Make sure Date is a date type, Revenue is a currency or number, and Store is text.
- Add a Scorecard for total revenue. Duplicate it and change the metric to Units.
- Add a Time series chart with Date as the dimension and Revenue as the metric.
- Add a Bar chart with Store or Product as the dimension, sorted by Revenue descending.
- Add a Table with Product, Units and Revenue for detail.
Add interactivity with controls
From the Add a control menu, insert a Date range control and a Drop-down list for Store. Controls filter every chart on the page that uses the same data source. You can also turn on cross-filtering in a chart's setup panel so clicking a bar filters the rest of the page.
Calculated fields and comparisons
For metrics that must be computed after aggregation, create a calculated field in the data source (Add a field). Average order value, for instance, should divide totals rather than average row values:
SUM(Revenue) / COUNT_DISTINCT(Order_ID)
Looker Studio formulas also support CASE statements for grouping:
CASE
WHEN Revenue >= 1000 THEN "Large order"
WHEN Revenue >= 250 THEN "Medium order"
ELSE "Small order"
END
To show growth, open a scorecard or time series and set Comparison date range to "Previous period" or "Previous year." Looker Studio then shows the change automatically, as long as the report has a date range dimension set.
Share it and keep it fast
Click Share to invite people by email or create a view-only link. Remember that viewers see the data through your credentials by default ("owner's credentials"), so don't put confidential columns in a data source you share broadly. For scheduled delivery, use the Schedule email delivery option to send a PDF of the report on a regular basis.
To keep reports responsive:
- Remove columns you don't use from the sheet or from the data source.
- Pre-aggregate very large logs into daily totals in a separate tab.
- Limit the number of charts per page; split big reports into several pages.
- When your data outgrows a spreadsheet, move it into BigQuery or another database. Our SQL for beginners guide is a good starting point.
Looker Studio is one of several no-cost options. Compare it with the others in our list of the best free BI tools for small businesses, and use our guide to KPIs every business should track to decide which numbers deserve a scorecard.
Common beginner mistakes
- Averaging averages. If your sheet already contains a margin or average column, don't average it again in a chart. Recalculate it from totals with a calculated field such as SUM(Profit) / SUM(Revenue).
- Changing column names in the sheet. Renaming or deleting a header breaks the fields that depend on it. If you must rename, open the data source and click Refresh fields, then fix any broken charts.
- Dates stored as text. A date typed as "03/05/2026" with an apostrophe or in an unusual format will not work with date range controls. Fix the column format in Sheets first.
- Too many pages and charts. A report with 30 charts is hard to read and slow to load. Start with the five numbers your team checks every week.
- Sharing the wrong access. Giving "Can edit" access when people only need to view lets anyone change your charts by accident. Use view-only links for most readers.
Next steps
- Clean one real spreadsheet into a single tidy table and connect it this week.
- Build a one-page report with three scorecards, one trend chart and one breakdown chart.
- Add a date range control and a previous-period comparison.
- Share the link with one colleague and ask what question they still can't answer from it.

Frequently asked questions
Is Looker Studio really free?
The standard version is free to use with a Google account. A paid Pro tier adds team management and extra features, and some third-party connectors charge their own fees.
Is Looker Studio the same as Data Studio?
Yes. The product was called Google Data Studio until 2022, then Looker Studio, and in 2026 Google announced it is returning to the Data Studio name.
Does my dashboard update when the Google Sheet changes?
Yes. Looker Studio refreshes data from the sheet on a schedule, and you can force an update with the Refresh data option in the report menu.
Can I use Looker Studio with Excel files?
Not directly as a live source. You can upload an Excel file to Google Sheets or use the file upload connector for CSV files.
